Using Microsoft Teams with LEAP

Learn how to integrate Microsoft Teams with LEAP for seamless communication. Explore the different ways to connect and collaborate with other staff members on matters.

The integration with Microsoft Teams has a team centric focus to make it easier than before to collaborate on your matters. Your matter correspondence, call back requests, chat history, and meeting notes are always there, so it is easier to work together on the same matter. You can also now make calls directly from within your matters using Teams.

You can communicate with other staff members within LEAP matters through Microsoft Teams in four different ways:

  • Open Team
  • Send to Team
  • Send to Staff (Requires LEAP version 2.5 minimum)
  • Call

Prerequisite to connect LEAP to Microsoft Teams: Link your Microsoft 365 Account with LEAP.

 
 

Make sure you have Microsoft Teams installed and set up for all staff members in your office.

  • Desktop
  • Web
  • Mobile

Create a Team for a Matter

 

  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Click Open Team on the toolbar.

    Microsoft Teams will open and create a team for the relevant matter. All the correspondence between staff members will be in the one place.

When you click Open Team on the toolbar, Microsoft Teams will open and create a team for the relevant matter in Teams. All the correspondence between staff members will be in the one place. Additionally, please note that the process of creating a team will also automatically create an email group in Outlook with an associated folder.

 

This cannot be disabled or unlinked.

 

If you do not want Teams groups created for a matter, please avoid clicking the Microsoft Teams buttons in a LEAP matter. 

Send a Link to a Document

 

  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Select a document listed in the Correspondence List.

    You may hold Ctrl or Shift key to select multiple documents.

  4. Click Send to Team on the toolbar.

    Microsoft Teams will open the relevant team with staff members that are part of the matter and include a message with a link to the shared document(s).

After sending documents via Microsoft Teams, all documents will have their respective URL’s saved to the 'Files' tab in Teams.

Open a Link to a Document

 

  1. Click Open on the shared document link in Microsoft Teams.

    The link will open in your default browser.

  2. Click through any prompts, if requested.

    LEAP Desktop will open the document as well as the matter it is from.

Send a Link to a Staff Member

 

  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Select a document listed in the Correspondence List.

    You may hold Ctrl or Shift key to select multiple documents.

  4. Click Send to Staff on the toolbar.

    The Staff List window will open.

  5. Either search or select the staff member(s) you wish to send the link to by ticking the checkboxes.

  6. Click Select.

    The link to the document will now be sent to the staff member on Microsoft Teams.

Make a Call from a Matter

Please ensure you have a valid Microsoft 365 account that includes Microsoft Teams Phone Standard Licence with a Team Calling provider setup. For more information, please click here.

  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Click Call from the toolbar.

    The Call window will open.

    If the call window opens in your web browser, change the Windows Default app where link type is TEL to open in Microsoft Teams.

  4. Search or select a Card to call from the matter, or alternatively, you may select Other and enter the Name and Phone Number you wish to call.

  5. Click OK.

  6. Microsoft Teams will open with a confirmation prompt of the number you've selected or entered.

  7. Click Call.

Make a Call from a Card

 

  1. Open the card.

  2. Click Call via Teams located in the top right corner of the card window.

    The Call via Teams window will open.

    If the call window opens in your web browser, change the Windows Default app where link type is TEL to open in Microsoft Teams.

  3. All contact numbers associated with this card will be displayed.

    Select one of the numbers, then click OK.

  4. Microsoft Teams will open with a confirmation prompt of the number you've selected.

  5. Click Call.

Send a Callback Request

 

  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Click the drop-down arrow of Call from the toolbar and select Send Callback Request.

    The Send Callback Request window will open.

  4. Select the staff member(s) you wish to send the link to.

  5. Under Callback, either search or select a number from the Cards on this Matter or select Other and enter one.

  6. Click OK.

    Microsoft Teams will open the relevant team for that matter with the selected staff member(s) and include a message with a link.

  7. The staff member will be able to initiate the callback via Teams or Mobile by clicking the relevant hyperlinked options in the message.

Return a Callback Request

 

Via Teams

 

  1. Click the callback request in Microsoft Teams by clicking Teams.

  2. Microsoft Teams will open with a confirmation prompt of the number you've selected.

  3. Click Call.

Via Mobile

Make sure you're logged into your LEAP Mobile app.

  1. Click the callback request in Microsoft Teams by clicking Mobile.

    The callback request will open in your default browser.

  2. Click through any prompts, if requested.

    A notification request will appear on your phone.

  3. Accept the notification to open the LEAP Mobile app and display the call options.

  4. Tap Call, Call & Time Record (when you've completed the call, a Time Entry screen displays with the recorded details) or Cancel.

Assign Calls to a Matter

 

  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Click the drop-down arrow of Call from the toolbar and select Assign Call to this Matter.

    The Assign Calls window will open.

  4. By default, the list is sorted by Start Time. You may click the other headings to sort the list as desired.

  5. Select the call activities related to this matter by ticking the checkboxes.

    You can filter the number of calls that appear per page by using the drop-down next to Calls Per Page, or use the Previous and Next buttons to navigate through the pages.

  6. Click Save.

    The assigned calls saved to the matter will be created as time entries which you may view via Time & Fees tab.

Assign Calls to Multiple Matters

 

  1. From the LEAP Matter List, click the LEAP Menu > Accounting > under General > Assign Calls to Matters.

    The Assign Calls to Matters window will open.

  2. By default, the list is sorted by Start Time. You may click the other headings to sort the list as desired.

  3. Click the checkboxes to assign the call to a matter.

    The Select a Matter window will open.

  4. Search or select the matter you wish to assign the call to.

  5. Click Select.

  6. Repeat for all relevant call activities that you wish to assign to a matter.

  7. When you are done, click Save.

Create a Team for a Matter

 

  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Click Open Team from the Microsoft Teams Integration group.

    Microsoft Teams will open and create a team for the relevant matter. All the correspondence between staff members will be in the one place.

Send a Link to a Document

 

  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Select a document listed in the Correspondence.

  4. Click Send Document from the Microsoft Teams Integration group.

    You can also right click on the document and select Microsoft Teams Integration > Send via MS Teams.

  5. Microsoft Teams will open the relevant team with staff members that are part of the matter and include a message with a link to the shared document(s).

Receive a Link to a Document

 

  1. Click Open on the shared document link in Microsoft Teams.

    The link will open in your default browser.

  2. Click through any prompts, if requested (clicking Preview will open LEAP Web).

    LEAP Desktop will open the document as well as the matter it is from.

Make a Call from the Matter

  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Click the drop-down arrow of Call and select Send Callback Request.

  4. Select the staff member(s) you wish to send the link to.

  5. Under Callback, either select a number or toggle on Manual callback entry and enter one.

  6. Click OK.

    Microsoft Teams will open the relevant team for that matter with the selected staff member(s) and include a message with a link.

Receive a Callback Request

  1. Click the callback request in Microsoft Teams.

    The callback request will open in your default browser.

  2. Click through any prompts, if requested.

    A notification request will appear on your phone.

  4. Tap Call, Call & Time Record (when you've completed the call, a Time Entry screen displays with the recorded details) or Cancel.

  1. Click the document link in Microsoft Teams.

    The link will open in your default browser.

  2. Click through any prompts, if requested.

    LEAP Mobile will open the document in preview mode.

Receive a Link to a Matter

  1. Click the matter link in Microsoft Teams.

    The link will open in your default browser.

  2. Click through any prompts, if requested.

    LEAP Mobile will open the matter.

Receive a Callback Request

  1. Click the callback request in Microsoft Teams.

    The callback request will open in your default browser.

  2. Click through any prompts, if requested.

    LEAP Mobile will display the call options.

  3. Tap Call, Call & Time Record (when you've completed the call, a Time Entry screen displays with the recorded details) or Cancel.
